Manage and coach a distributed team of 8–10 Strategic Account Managers in the US Food & Beverage vertical to retain and grow enterprise restaurant clients. The Administrative Assistant role entails providing support to the Private Capital team. The responsibilities of the Administrative Assistant include:

  • Managing calendars, including scheduling internal and external appointments, confirming meetings, and coordinating with other assistants

  • Managing and booking global travel arrangements, including flights, visas/passports, cars, hotels, and other reservations

  • Answering calls and acting as a gatekeeper

  • Liaising closely with other assistants on all business scheduling

  • Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system

  • Completing detailed corporate expense reports, including tracking receipts, expense purpose, and reimbursements

  • Maintaining and organizing files

  • Maintaining office equipment and inventory supplies

  • Logging meetings / interactions to Salesforce, our ICS CRM

  • Maintaining client data and onboarding information in Salesforce (sales pipeline opportunities, address, contact information, etc.)

  • Adding clients to data rooms, setting up BX Access profiles

  • Planning client events (breakfasts, lunches, conferences) including invitation creation, coordinating venue logistics, scheduling prep with speakers, name cards, materials, seating assignments, tracking costs

  • Ad hoc projects

Qualifications:

  • Balance multiple priorities and where necessary – triage requests and manage your own workload appropriately

  • Experience with coordinating travel arrangements

  • Extensive familiarity and experience with Microsoft suite

  • Familiarity with Concur is preferred

Expected annual base salary range:

$70,000 - $130,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.
Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
