SUMMARY

The Product Operations Associate provides essential operational and administrative support to the Product Development and Sourcing teams. This role is responsible for managing product documentation, sample logistics, style setups, and packaging details to ensure consistent execution across all product categories. The associate collaborates closely with internal teams and external factory partners to ensure accurate product data, timely approvals, and smooth production processes.

KEY RESPONSIBILITIES

  • Support the Product Development and Sourcing teams by coordinating operational tasks across the product lifecycle.

  • Receive and distribute incoming sample shipments; organize and manage the sample closet for sourcing, sales, and design needs.

  • Track and fulfill sample requests; manage shipments to customers, internal teams, and factories.

  • Generate and assign new style numbers for customer orders, ensuring accuracy and consistency in product records.

  • Create and maintain production tech packs (spec sheets) for all product categories, including detailed product info, photos, packaging, supplier data, labeling/stamping instructions, dimensions, and bilingual content (e.g., French for Canadian customers) as needed.

  • Confirm final retail prices with the Sales team to ensure alignment across documentation.

  • Serve as the point of contact for factory packaging questions, ensuring clarity and compliance.

  • Approve pre-bulk (design) samples for materials and construction; oversee “Keep Samples” (bulk/PP samples) to confirm accuracy in color, labeling, packaging, and overall execution.

  • Create and update line sheets for customer presentations and internal sales reference.

  • Maintain consistent communication with factories to share tech packs, manage development needs, clarify production requirements, and facilitate sample approvals.

  • Keep accurate records of sample status, approvals, and all outgoing requests.

  • Support organizational efficiency by maintaining well-structured digital and physical product records.

  • Manage samples and line presentations.

  • Assist in the creation and management of line sheets.

SKILLS, KNOWLEDGE, AND ABILITIES

  • Proficient in Microsoft Office, especially Excel (data management, formatting, formulas)

  • Familiarity with Adobe Creative Suite (for packaging layouts/artwork)

  • Exceptional attention to detail in documentation, sample handling, and product specifications

  • Highly organized and able to manage multiple deadlines in a fast-paced environment

  • Strong communication skills for working with cross-functional teams and factory partners

  • Comfortable working with product systems; PLM experience is a plus

  • Understanding of the product development lifecycle, from design through bulk approval

  • Able to troubleshoot and resolve product-related questions or discrepancies independently

QUALIFICATIONS

  • Bachelor’s degree in Product Development, Merchandising, Fashion, or a related field preferred

  • Minimum 2 years of experience in product operations, development coordination, or sourcing support

  • Experience working with factories and managing production documentation preferred

  • Demonstrated ability to manage samples, tech packs, and product data with accuracy

  • Self-motivated and adaptable team player with a proactive and collaborative approach

Salary offered will be commensurate with experience. For this New York based position, the expected base salary is $26.45 - $31.25/hour.
