The Project Coordinator is part of a construction services team managing national multi-site commercial construction projects. The Project Coordinator provides administrative support to the Bid and Pipeline Manager throughout opportunity tracking and bidding, and assists the estimating team with subcontractor engagement.. Specific tasks are assigned by the Bid & Pipeline Manager, Sr. Bid Coordinator, or estimating team.

Essential Duties and Responsibilities:

  • Manage and maintain accurate opportunity, bid, and pipeline information across company systems, ensuring project details, pursuit stages, deadlines, ownership, and anticipated schedules remain current.
  • Coordinate bid calendars, deadlines, reviews, and follow-up activities across Estimating, Operations, and Business Development teams; proactively identify missing information, conflicting deadlines, and outstanding actions.
  • Organize and maintain bid files and management platform records, including drawings, specifications, addenda, RFIs, proposals, correspondence, and other pursuit documentation.
  • Coordinate subcontractor and supplier outreach by maintaining bidder lists, tracking participation and quote coverage, distributing bid invitations and addenda, and following up on outstanding responses.
  • Track bid questions and clarification requests, coordinating responses with internal teams and distributing approved information to applicable bidders.
  • Support preparation and submission of bids by coordinating required documents, forms, approvals, checklists, and client portal requirements.
  • Prepare and distribute pipeline, bid status, and pursuit reports; document meeting outcomes and action items and follow up with responsible team members to maintain progress.
  • Track bid outcomes, award status, and win/loss feedback; maintain historical pursuit records and coordinate the transition of awarded opportunities and documentation to the project execution team.
  • Serve as a key administrative resource for the bidding and pipeline process, helping ensure opportunities move efficiently from initial pursuit through award while maintaining accurate records and clear communication across teams.
  • Pricing, pursuit strategy, client commitments, and final bid approvals remain the responsibility of designated Estimating, Business Development, and leadership team members.

Qualifications:

  • 2-4 construction or estimating experience and/or related training
  • Experience with multi-site projects is preferred. Experience in construction administration, bid coordination, or opportunity and pipeline tracking is preferred.
  • Knowledge of data analysis and tracking within Microsoft Excel and email and calendar management within Microsoft Outlook is required.
  • Experience with Smartsheet and Procore is highly preferred.
  • Familiarity with BuildingConnected or similar bid management platforms and CRM or pipeline tracking systems is preferred.
  • Ability to use Microsoft Teams or similar tools for remote meetings, document sharing, and team coordination is required.

Work Conditions and Travel:

This is a remote position supporting construction, estimating, and business development teams. The employee must maintain a reliable internet connection and a workspace suitable for confidential business communications and focused work. The role requires effective collaboration through virtual meetings, email, and company systems; consistent availability during agreed working hours; and independent management of multiple projects, bid deadlines, and assigned priorities. Travel is required (0-10%) on an as-needed basis for project needs, team meetings, or training.

Pay & Benefits: The anticipated compensation range for the position is $27 - $34/hr based on a full-time schedule, market and business conditions, and is commensurate on individual education, qualifications, and experience. Benefits include medical, dental, vision, life, and disability insurances, flexible paid time off, paid holidays, sick time, and a matching 401K plan.
