Overview

Project Management serves as the operational delivery leader for the account. The team partners 
with Client Services and business units to translate client priorities into clear, executable plans 
with defined scope, timelines, resources, and accountability. PM owns delivery governance, 
project planning, forecasting, risk management, resource coordination, operational financial 
stewardship, and execution oversight. The department ensures work is delivered consistently, 
efficiently, and predictably while providing visibility into portfolio health and enabling scalable 
business growth.

Role Overview

The Project Manager is responsible for leading day-to-day project operations and coordinating 
cross-functional activities to ensure work is delivered on time, on scope, and on budget while 
supporting agreed-upon client objectives and priorities established in partnership with Client 
Services. This role applies core project management principles to translate project goals into clear plans, 
manage task execution and dependencies, and keep stakeholders aligned through consistent 
communication and status reporting. The Project Manager maintains accurate project 
documentation, proactively identifies risks and issues, and supports problem-solving to keep 
delivery moving efficiently and predictably.

Key Responsibilities

 Project Planning and Scheduling 

 Assist in defining operational project financial management: estimate development, burn tracking, scope, project goals, and deliverables 
 Develop detailed project schedules and work plans 
 Allocate resources and monitor task completion 
 
 Task Management 

 Manage day-to-day operational tasks and ensure they are completed on time 
 Track and manage project progress, identifying and resolving issues as they arise 
 Coordinate with team members to ensure alignment with project goals and timelines

Communication and Coordination

 Act as the primary operational point of contact for project timelines, deliverables, 
dependencies, risks, and workflow coordination 
 Facilitate regular status meetings and provide updates on project progress 
 Ensure clear and effective communication within the project team 

Risk and Issue Management

 Identify and assess risks to project success 
 Develop risk mitigation strategies with manager and handle any issues that arise during 
the project lifecycle 

Documentation and Reporting 

 Maintain and organize project documentation, including project plans, schedules, budgets, and status reports 
 Prepare and deliver regular progress reports to stakeholders

Quality Assurance 

 Monitor project deliverables to ensure they meet quality standards 
 Coordinate reviews and approvals for project deliverables 

Stakeholder Management

 Manage relationships with internal and external stakeholders, ensuring their expectations are met 
 Address stakeholder concerns promptly and professionally What Success Looks Like in This Role 
 Ensure project plans, finances and schedules/timelines are updated 
 Conduct daily or weekly check-ins with team members to ensure task status/completion 
 Prepare and circulate meeting agendas, minutes, and action items 
 Track and update project status in project management tools (e.g. Wrike, Ziflow, etc.) 
 Maintain and organize all project-related documents 
 Support in preparing reports for project stakeholders 
 Lean in to provide support to fellow project management teams when and where needed 
 
 
Required Knowledge and Skill Set 

Basic Knowledge of Project Management Tools and Techniques

 Familiarity with project management software (e.g., Microsoft Project, Asana, Trello) 
 Understanding of key project management methodologies (e.g., Waterfall, Srum, Agile) 

Fundamental Knowledge of Project Management Processes 

 Demonstrated expertise in media execution across channels, with a strong understanding of media planning, activation, campaign workflows, channel requirements, and best practices across digital and traditional media 
 Awareness of project lifecycle stages (initiation, planning, execution, monitoring, and closure) 
 Basic understanding of scope, schedule, cost, quality, risk, and resource management principles 

Communication Skills 

 Strong written and verbal communication skills 
 Ability to facilitate meetings, provide clear updates, and maintain project documentation 

Time Management and Organizational Skills 

 Proven ability to prioritize tasks and manage multiple responsibilities 
 Attention to detail and ability to maintain accurate records

Problem-Solving and Critical Thinking 

 Ability to identify potential project challenges and proactively develop solutions 
 Strong analytical skills to assess project status and recommend corrective actions 

Collaboration and Teamwork 

 Experience working effectively in a team environment 
 Willingness to support and collaborate with cross-functional team members Qualifications 
 Minimum of 2-3 years in a Project Management role, experience with pharmaceutical clients if preferred 
 Basic knowledge of project management methodologies and tools 
 Basic knowledge of digital media best practices 
 Basic knowledge of various project types including digital media, online advertising, digital analytics, conferences, print advertising, broadcast media, and campaign reporting/analysis. 
 A team player with strong time-management skills, the ability to motivate others to deliver excellence, and poise and focus under pressure.   
 Proficient in Microsoft Office suite and Adobe Acrobat. 
 Experience in the media industry, preferably at a media agency. 
 Experience with project management software examples include Jira, Wrike, Asana.
 Ability to thrive in a fast-paced, deadline-driven environment.
