A BIT ABOUT OUR TALENT and NEW YORK TEAM(S)

This is a shared role, supporting our executive team in NY: CFO, Head of Legal, Head of Growth & Head of Product. The other ‘50%’ of the time will be working with the Talent (HR) team. The talent team owns our offices/facilities and culture - with offices and their environments of course playing a huge role in the culture of a company and the experience of those who work there. This role will play a primary ownership role in our New York office.

HOW YOU’LL CREATE A BETTER WORLD FOR PETS

Everything we build for pets and pet parents is touched by our tech teams and wider associates. This role is an enabling role for everyone’s success. We also believe that a better world for pets, is a world where they’re more welcome; and that couldn’t be more so than our pet friendly offices. In this role, you’ll specifically be responsible for:

Workplace Experience Coordinator:

  • Overseeing the day to day operations of our NY office - manage our pantry, order supplies, coordinate with the building on facilities needs and manage our packages
  • Manage the execution of our hybrid working strategyWelcome and onboard new associates to our office
  • Greet and welcome candidates and visitors who come in for interview
  • Create working ‘systems’ for our office in partnership with our Workplace Experienc
  • Lead- whether that is virtual reception, or room booking services
  • Constantly seek opportunities for office improvement - for example ensuring our offices are set up inclusively, they work for our needs (team space, 1:1 space, desk space)
  • Implement (upon our return to offices) COVID safe practices
  • Support the move of any teams of talent into and out of our New York office(s)
  • Lead local cultural events for the NY teams, and join the wider talent team meetings/engagement/communications. And be prepared to take on some projects from time to time.

Executive Coordinator:

  • Coordinate schedule, review multiple calendars and be proactive by identifying and resolving any conflicts
  • Arrange all travel plans including ensuring appropriate visas and letters of introduction are complete. Ensure any information on visiting country is given prior to departure
  • Complete expense reports
  • Complete a broad variety of administrative tasks that facilitate Executives’ ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing
    information for meetings
  • Ability to manage confidential information

And for this role, we hope you have the following skills we require to round out our team to knock it out of the dog park:

  • Have 3+ years of experience in assistant/administrative/exec co-ordinator type roles.
  • 1- 2 years of facilities or office management experience.
  • Broader Facilities Management experience is a real advantage. But you must have a willingness to learn core compliance requirements - such as office health and safety.
  • You’re able to prioritize well and be flexible in a fast paced environment with changing demands.
  • You have experience (or fast to learn) with G Suite products
  • Organized and detail-oriented with a “no job too small” mentality.
  • You are a change-maker, culture creator, and bring positive energy to work everyday.
  • You’re a disciplined self-starter with a “can-do” attitude, and don’t need much direction after a few training sessions.You are proactive, resourceful, collaborative, detail-oriented and enjoy working across time- zones, and cultures
  • You don’t need to have a pet, but a desire to make a Better World for Pets is critical.

Our New York City office is conveniently located right off the 28th street 6 train station bustling with fantastic cafes, restaurants, and bars. A few blocks away is gorgeous Madison Square Park where you can pick up SweetGreen nearby and have lunch with a view.
