As the Proposal Developer for U.S. Loss Adjusting, this role delivers both technical and administrative expertise throughout the RFP and RFI response cycle. It supports all services offered within U.S. Loss Adjusting, helping to ensure that each final proposal response accurately reflects the Company’s capabilities, value, and benefits.
Working closely with Sales leadership and other departments throughout the organization, this position oversees the full lifecycle of each RFP—from initial intake through final submission—while maintaining accuracy, consistency, and timely delivery. Strong project management skills are essential, as the Proposal Developer independently coordinates multiple concurrent RFP efforts that contribute directly to corporate revenue objectives.
A key responsibility of this role is shaping the strategic positioning of each proposal response. This includes leading cross‑functional subject matter experts, gathering and compiling technical input, and producing high‑quality, client‑focused proposal documents. Through this collaboration, the Proposal Developer helps ensure that prospective and existing clients receive responses that meet or exceed expectations in clarity, professionalism, and overall quality.  
Experience within the loss adjusting industry is a strong asset for this role. Familiarity with loss adjusting services, terminology, and the claims ecosystem enables the proposal writer to develop more accurate, compelling, and client‑relevant responses that clearly articulate value and differentiate the business in a competitive market.

Responsibilities
  • Providing technical and administrative support for the RFP (Request for Proposal) and/or RFI (request for Information) processes, collaborating with various departments to gather necessary information for Loss Adjusting proposals.
  • Serve as a project manager for proposal responses, leading end-to-end execution by coordinating kickoff and working sessions with the opportunity owner, developing and managing a detailed workback schedule, and tracking outstanding items and responses to ensure timely, high-quality submissions.  
  • Use the RFP knowledgebase (SalesEdge/Qvidian) and other current documents or papers to write relevant, strategic, concise, and complete responses to RFP questions.
  • Leverage writing skills and creativity to customize responses to address specific questions of the RFP with the understanding that our primary source of content is the RFP knowledgebase/database and/or input received from selected subject matter experts.
  • Perform quality and compliance checks throughout the RFP process to ensure clarity, consistency, and accuracy of response message and compliance with Department and Company standards and requirements.
  • Working in MS Office products and SalesEdge/Qvidian.
  • Ensuring timely and accurate tracking of opportunities to ensure timely responses.
  • Supporting proposal workflows from the initial receipt/assignment of the RFP/RFI through document preparation and final submission.
  • Enabling the organization to respond efficiently to public and private funding opportunities.
  • Ensuring compliance with all relevant guidelines and requirements as set out and documented by the Department/Company.
  • Participate in special projects and complete other duties as assigned. 
Qualifications
  • A bachelor’s degree or an equivalent combination of education and work experience is required.
  • A bachelor’s in business administration, journalism, communications, or similar disciplines is preferred.
  • 3 or more years of relevant experience in marketing and communications roles.
  • Experience at a large, B2B-focused enterprise is an asset.
  • Experience in insurance claims handling and/or risk-related industries a plus.
  • Previous experience in RFP writing skills and techniques.
  • Previous experience with SalesEdge/Qvidian a plus.  
  • Familiarity with insurance claims management and loss adjusting is an asset.  
  • Ability to create and manage effective relationships with cross-functional partners at various levels of the organization.
  • Frequent interaction with internal and external customers and other department personnel primarily to exchange information to solve problems. Ability to adapt to a changing environment as programs/procedures change.
  • Excellent oral and written communication skills.
  • Proficient in Microsoft Office applications. Including knowledge of office automation tools for word processing, spreadsheets, databases and PowerPoint.
  • Basic knowledge of layouts, typography, line composition, color, and other graphic design fundamentals
  • Familiar or proficient in Adobe Creative Suite including Illustrator, Photoshop and InDesign is an asset
  • Ability to contribute individually and participate in cross-functional teams.
  • Advanced problem-solving skills and analytical ability to make decisions based on standard policies and procedures.
  • Task-oriented, and creative problem solver, with strong work ethic and positive attitude.
  • Ability to effectively work with all levels of management.  
  • Ability to work concurrently on several RFPs at a given time.
  • Experience in the loss adjusting industry is a strong asset, enabling the development of accurate, credible, and value-driven proposal responses that resonate with clients and buyers.

  • Ability to frequently talk or hear on a telephone and receive detailed information through oral communication is required.
  • Exertion up to 20 pounds of force is occasionally required and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
  • Visual activity requirements are those of Clerical Administrative. This is a minimum standard for use with those whose work deals largely with preparing and analyzing data and figures, accounting, computer terminal, extensive reading, operation of machines, and using measurement devices.
