Position requires agility and the ability to manage competing priorities effectively.


Registration Operations Coordinators are required to be onsite at most of the events they support. The Registration Operations Coordinator must be comfortable with traveling from the onset of this position. This role could require travel of up to 20-30% within year, but this is not guaranteed. Overnight travel can vary from 3-10 days per trip. All travel-related costs are covered by Emerald X.


Responsibilities

  • Participate in registration planning meetings, event team meetings, online registration website testing, and providing quality control throughout the registration cycle.
  • Contribute to organization effectiveness by acquiring full understanding of the registration process for each of their events.
  • Ensure accurate data entry and maintain registration databases.
  • Provide support to show registrants and exhibitors when escalation from internal teams and/or registration vendor customer service team is necessary. Response to all requests should be emailed within two business days.
  • Support internal teams (Marketing/Sales/Operations/Buyer Relations/Delegate Sales Teams) with registration-related requests in an accurate and timely manner. Response to requests should be followed up via email within two business days.
  • Support registration qualification approvals on shows. During show cycle the daily quantity expectation will be set by your manager.
  • Ensure communication with vendors and internal staff is professional, timely, clear, and accurate, adhering to specifications from internal processes and/or vendor requirements.
  • Order registration supplies as requested by the Registration Operations Manager.
  • Open communication with the Registration Operations Manager while assisting with executing the registration process onsite at each assigned event, including ensuring all requirements are met. Registration Operations Manager will relay the expectations for your onsite duties. Report any issues immediately to Registration Operations Manager so they can address and resolve.
  • Assist Registration Operations Manager with special registration projects as assigned.
  • Support the Registration Operations team with other event projects as required.
  • Travel to events and provide onsite support.


Qualifications

  • Must be able to travel up to 20-30% within year, but this is not guaranteed. Overnight travel can vary from 3-10 days per trip.
  • Experience providing administrative support.
  • High proficiency in Microsoft Office: Word, Excel, Smartsheet, Outlook.
  • Exceptional customer service skills.
  • High attention to detail.
  • Strong organizational skills.
  • Strong oral and written communication skills.
  • Ability to multi-task daily.
  • Self-starter with strong analytical skills.
  • Ability to effectively prioritize and manage deadlines.

  • Proven work experience in this role or similar role is essential.

COMPENSATION & BENEFITS

Target Compensation: $50,000 (Non-Exempt)

Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate’s qualifications and may be higher where required by applicable law.
