ROLE RESPONSIBILITIES
Partner with colleagues across Vaccines Operations on shared goals and deliverables involving:
Site Affairs
- Support Pearl River Site Affairs projects and activities, including planning meetings and events for the Vaccines Leadership Team and Pearl River Site Leadership Team (e.g., All-Hands Meetings, VIP site visits, Science Summit, colleague engagement events, onboarding new hires and interns)
- Coordinate logistics and timelines with enabling teams (e.g., facilities, catering, A/V, security) to ensure high-quality, well-run experiences
- Support the coordination and upkeep of Pearl River's annual site programming, including maintaining the site calendar of events and partnering with colleagues, Vaccines administrative professionals, and Vaccines and Site leadership team members as appropriate
- Provide operational and planning support to Pearl River Colleague Resource Groups (CRGs) and Clubs, including budget tracking, event coordination, scheduling support, etc.
- Support with ad-hoc programming and initiatives as needed
Business Operations
- Support Business Operations deliverables, including monthly reporting, data tracking, operational updates, etc., by compiling, analyzing, and synthesizing data (e.g., headcount, recruiting, and site metrics) to inform leadership updates and decision-making
- Contribute to and maintain automation tools that drive efficiency across the organization, while proactively bringing forward ideas for process improvements and more efficient ways of working
Information Sharing
- Support the day-to-day management and ongoing enhancement of communications across multiple channels for the Pearl River site - including Viva Engage posts, site newsletter, digital signage, emails communications, etc.- by generating timely, engaging content and creative materials that resonate with on-site colleagues
- Support the research, drafting, and publishing of short- and long-form content, including articles, executive leadership communications, videos, infographics, PowerPoint presentations, etc., by assisting with the coordination of inputs, development of draft materials, and independently refining content to ensure clarity, accuracy, consistency, simplicity of language, and strong news impact
- Apply strong technical and digital skills to support and continuously improve the site's information channels, including the effective and responsible use of AI tools
External Engagement
- Support on-site programming and experiences for interns and rotational associates at Pearl River by assisting with the coordination of logistics and program materials and serving as an additional point of contact for day-to-day inquiries
- Support the planning and coordination of Pearl River's engagement with local community partners by assisting the team with outreach planning and logistics for events and initiatives
- Work with internal partners to ensure external engagement activities are well-planned, compliant, and aligned with site and organizational priorities
QUALIFICATIONS
Must-Have
- Bachelor's degree with 3 to 5 years of work experience
- Strong interest in vaccines and public health
- Experience working collaboratively with diverse teams as well as working independently with minimal supervision
- Strong project management and event management skills with demonstrated attention to detail
- Strong written and verbal communication skills, including experience communicating with colleagues at all levels of the organization, sharing knowledge, influencing best-practices, and coordinating workflows
- Demonstrated resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative
- Possess a high energy level, sense of urgency, creativity, decisiveness, ability to work hard and well under pressure
- Experience working with highly sensitive, confidential material and information
- Excellent keyboarding and proofreading skills
- Proficiency in MS Word, Excel, PowerPoint, SharePoint, Teams, Engage, and Outlook
