ABOUT THE ROLE

The Marketing team at GEICO needs to move fast, stay organized, and show up well in every room. Making that possible is a real competitive advantage and a must-do. That's where this role comes in.

This Executive Assistant will be the operational backbone for the CMO. You'll manage the calendar, the logistics, the details, and the moments that matter — from a high-stakes executive offsite to a last-minute travel change to making sure a leader walks into a meeting with everything they need. You'll also bring a hospitality mindset to everything you touch: anticipating needs before they're expressed, handling the personal and professional with equal grace, and making the office feel like a place people want to be.

If you are a highly-organized go-getter who wants to learn how a major marketing organization operates from the inside — and you're the kind of person who gets energy from making other people's work lives run beautifully — this is a great place to build a career.

KEY RESPONSIBILITIES

Executive and Calendar Support

  • Own the calendar for the CMO, proactively managing conflicts, protecting priorities, and staying one step ahead.

  • Working with the Chief of Staff, support distribution of briefing materials and coordinate logistics for meetings, team calls, and leadership sessions.

Travel, Logistics, and Expense Management

  • Book and manage complex domestic and international travel — flights, hotels, ground transportation, and itineraries — with precision and contingency thinking.

  • Maintain travel tracking and handle changes, cancellations, and last-minute pivots without missing a beat.

  • Prepare and submit expense reports accurately and on time.

Event Planning and Hospitality

  • Support planning and execution of team events, offsites, leadership dinners, and internal gatherings — handling venue sourcing, catering, AV, run-of-show, and on-site coordination.

  • Bring a hospitality mindset to every event and interaction: anticipate what's needed, sweat the details, and create experiences that feel effortless to the people in the room.

  • Work with the Chief of Staff and Marketing Operations team to support external-facing moments — agency meetings, partner visits, executive presentations — ensuring the environment and logistics reflect well on the team.

YOU MAY BE A GOOD FIT IF YOU

  • Are looking to grow and develop your skills — with opportunities to engage with senior leaders, gain exposure to key decision-making, and build capabilities quickly

  • Take genuine pride in the details. You notice what's missing before anyone asks, and you find real satisfaction in making something run perfectly.

  • Have a hospitality instinct — you think about the experience other people are having and make it better without being asked.

  • Are calm when things change quickly. Last-minute pivots don't rattle you; they're just problems to solve.

  • Are discreet by nature. You handle sensitive information — personal and professional — with maturity and discretion.

  • Communicate clearly and confidently, in writing and in person, across all levels of an organization.

  • Want to be inside a marketing transformation at an iconic American brand, not just adjacent to it.

  • Handle sensitive personal and professional information with complete discretion and sound judgment/

IDEAL EXPERIENCE

  • 3+ years of experience supporting high-volume senior leaders in an executive assistant, office coordinator, hospitality, events, or similar role.

  • Event planning or hospitality experience — formal or informal. You've planned something that had moving parts and made it look easy.

  • Strong Microsoft Office skills — Word, PowerPoint, Excel, Outlook. Comfortable building a clean deck or a tracking spreadsheet from scratch.

  • Comfort with AI tools — familiarity with Claude, Microsoft Copilot, or similar AI assistants to help draft communications, summarize information, and move faster on everyday tasks.

  • Exceptional organizational skills and the ability to manage multiple competing priorities without dropping anything.

  • High emotional intelligence and discretion — you read rooms well and can be trusted with confidential information.

  • Clear, polished written communication — you write emails and documents that reflect well on the people you support.

  • Bachelor's degree preferred but not required. Relevant experience and demonstrated capability matter more.

STRONG CANDIDATES MAY ALSO HAVE

  • Experience supporting a fast-paced executive in a corporate or agency environment.

  • Experience working in marketing organizations, either directly or as a partner.

  • Familiarity with SharePoint, Workday, Claude, Microsoft Co-Pilot, and similar enterprise tools.

  • A background in project management or client services that has sharpened your instinct for anticipating needs.

  • An interest in marketing, media, or brand — curiosity about the industry you're supporting goes a long way.

Location: New York City, NY. This is a hybrid role with a 3-day in-office requirement.

Reports to: Chief of Staff to the Chief Marketing Officer
