As a Senior Executive Assistant within Commercial & Investment Banking Digital & Platform Services, supporting a group of executives and their manager, you will demonstrate the ability to navigate the firm seamlessly, leveraging strong organizational, interpersonal, and communication skills. You will consistently exhibit professionalism and deliver flawless work. This role requires discretion and sound judgment across a variety of situations, adapting procedures, processes and techniques to align with departmental objectives.

Job responsibilities

  • Manage complex and dynamic calendars, including scheduling meetings and conference calls with senior internal and external stakeholders. Coordinate room reservations, audio-visual setup, catering arrangements, and prepare meeting documents.
  • Screen incoming calls, assess priority, and exercise caution when sharing information.
  • Arrange and coordinate detailed domestic and international travel, ensuring seamless logistics and itinerary management.
  • Process invoices and expenses in compliance with company policies, ensuring timely and accurate completion.
  • Draft high-quality emails and messages for individuals at all organizational levels, maintaining clarity and professionalism.
  • Proactively handle routine activities and provide advance notice of potential issues or delays.
  • Collaborate effectively with the administrative assistants team, offering mutual support and working together on joint initiatives.

Required qualifications, capabilities and skills 

  • Proven experience supporting senior executives and managing complex calendars, communications, and travel arrangements.
  • Demonstrated discretion, confidentiality, and sound judgment.
  • Advanced organizational skills, with the ability to manage multiple tasks, prioritize effectively, and remain composed under pressure.
  • Commitment to excellence, consistently performing duties at the highest standard.
  • Excellent communication skills, with confidence and professionalism in interactions at all levels.
  • Strong attention to detail and accuracy.
  • Ability to partner with the assistants team to ensure seamless coverage across teams.
  • Flexibility to adjust work hours based on business needs.
  • Strong proficiency in Microsoft Office, AI and LLM platforms with the ability to quickly learn new applications and tools.

Preferred qualifications, capabilities and skills 

  • Experience supporting at the Managing Director level (or equivalent) or above
  • College degree is a plus

Note: This role requires five days in the office (Monday-Friday) and does not support hybrid options.
