We are seeking a detail-oriented and organized Senior Office Coordinator with experience managing financial, administrative, and logistical functions. This role requires working three to four days per week in the office with a dynamic and high performing team.
We will count on you to:
- Manage and process expense reports, including those for the Board of Directors, ensuring accuracy, compliance with company policies, and timely reimbursements.
- Execute vendor payments efficiently through the iProcurement system, maintaining accurate records and ensuring adherence to Procurement policies.
- Prepare detailed sourcing grids for meetings and events.
- Track event budgets and coordinate logistics for meetings and special events.
- Oversee artwork management, including inventory control, documentation, and timely updates.
- Support special projects to ensure smooth and efficient operations.
- Manage the team supplies and event supplies. Pack event supply boxes and prepare detailed customs forms to avoid shipping delays.
What you need to have:
- Associate’s degree or Bachelor’s degree
- 3+ years of relevant sourcing or procurement experience including requisition processing, and procurement workflow management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and appetite for adopting new technologies such as iProcurement, Cvent and AI tools
- Strong organizational and time management skills, attention to detail and ability to communicate with stakeholders
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability
