Provide the most complex executive support and administrative duties involving frequent exercise of independent judgment, initiative, and diplomacy in support of a Global / Regional Senior Executive. Working with limited direction from the executive and executing significant discretion and judgment. At this level, support staff are typically responsible for implementing defined processes within a specific area and providing oversight and guidance to less seasoned staff. Familiarity with International / Home Office operations and coordination of associated projects. Bilingual in Japanese / English oral and written skills.
Major responsibilities:
Answer complex inquiries which require thorough knowledge of the business unit’s policies and procedures.
Produce highly confidential materials in the form of memos, correspondence, and letters from drafts.
Conduct research and data analysis for special and on-going projects.
Requires the ability to create mathematical computations in spreadsheets and convert to presentation level materials.
Individual would be expected to contribute to workflow or process change and redesign, and to form a strong basic understanding of the specific product or process.
Review drafts and finished documents for correct grammatical usage.
Compose agenda and correspondence.
Maintain calendar, coordinate and arrange large and/or recurring meetings, luncheons, conferences, and seminars on a regional and global basis.
May prepare materials necessary for meetings, etc.
Receive and greet incoming visitors in a professional manner, direct and assist with needs.
Respond verbally or in written form to internal and external inquiries, which may involve communicating with high level management regionally and globally.
Perform administrative duties such as coordinating travel arrangements, ordering supplies, preparing monthly expense reports, etc.
Process and coordinate accounts payables and expense vouchers.
May perform activities to include coordination of interviewing / screening, employee orientation, and maintenance of employee profiles and org charts.
Responsible for special research / projects when assigned along with assisting the executive in project coordination.
Duties may include creating and maintaining various project plans, serving as project coordinator, and assisting in administrative duties, including creating and maintaining appropriate project documentation, such as schedules, meeting minutes, etc.
Create and maintain status tracking reports.
May assist the manager in presenting project information.
Requires excellent organizational and interpersonal skills as well as problem solving, negotiation and follow up skills.
Requires ability to organize and coordinate multiple projects and has good verbal and written communications ability.
Requires excellent word processing, spreadsheet, and database computer skills.
Strong Microsoft Word, Excel, and PowerPoint.
The right candidate will have 10+ years of Executive level administrative experience in an international organization and be bilingual in Japanese / English oral and written skills.
The typical base pay range for this role is between $38 per hour - $50 per hour depending on job-related knowledge, skills, experience and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
