About the Team & How We Work:As a Tax Operations Specialist, you’ll be Miter’s internal payroll tax expert - the person who turns tangled tax situations into clear, calm resolutions for our customers. Payroll tax is one of the highest-stakes parts of running payroll, and getting it right is core to the trust our customers place in Miter.
You’ll work closely with Support, Launch, Product, and our partners at Check to own reactive tickets, drive proactive risk reviews, build the playbooks and enablement that scale tax expertise across the company. We’re a small, scrappy team that prizes ownership, clear writing, and the instinct to fix the root cause, not just the symptom. If you love untangling messy problems, partnering with customers in stressful moments, and turning hard-won knowledge into systems that compound, this is your seat.
What You’ll Do:Serve as Miter’s internal tax expert: stay current on Check policy and product changes, federal/state/local filing rules, and agency nuances; be the go-to for teammates escalating complex cases.
Own reactive tax support tickets: tax notices, blocked filings, W-2/year-end issues, balancing/HLD debits, and general tax-setup questions.
Drive proactive tax setup reviews for customers flagged as high-risk during onboarding — benefit/deduction design, payroll history reconciliation, tax profile audits (agency IDs, TPA/POA, “Applied For,” frequencies, rates), First Quarter Filing readiness, and year-end/ownership-change prevention.
Build playbooks, enablement docs, and training for Sales, Launch, and the broader Support team so common tax issues can be handled systematically (and eventually automated).
3+ years (mid) / 5+ years (senior) of payroll tax experience at a payroll provider, payroll SaaS, or PEO, with hands-on knowledge of federal, state, and local filing requirements across multiple jurisdictions.
Direct experience owning agency notices end-to-end, including researching guidance, guiding customers through resolution, and handling cases from first email through live calls with stressed CFOs.
Strong Excel skills (pivot tables, lookups, gross/net and tax reconciliations) and working knowledge of payroll systems like Check, Gusto, Rippling, ADP, or Paychex, with the ability to build and interpret balancing reports from scratch.
Deep agency fluency: POA/TPA processes, "Applied For" handling, filing frequencies, wage bases, withholding mechanics, and triaging 941/940, state UI, withholding, and local notices into clear next steps.
Excellent written and verbal communication paired with strong judgment: can distill a tangled tax history into a calm, concise reply, de-escalate frustrated customers, and turn repeat issues into playbooks alongside Support, Launch, and Product.

For roles that are listed as hybrid, our approach is 3 days a week in the office giving us the chance to connect, brainstorm, and build stronger relationships. If you live within a reasonable commute to either our New York City or San Francisco offices, we ask that you work in our hybrid approach.
Otherwise, for roles listed as remote or in other cities where we don't have an office location, there is no requirement to work in our hybrid approach. We do travel a few times a year for onboarding, company-wide and team specific off-sites!
