What this job involves

As the Technology Procurement Coordinator for our Global Real Estate team, you will provide essential administrative and coordination support for our technology vendor and license management operations. Working under moderate supervision, you'll help maintain our portfolio of 13+ specialized real estate and workplace technology platforms—from CAD design tools and space analytics solutions to facilities management systems and collaboration platforms. In this role, you'll support internal stakeholders by handling day-to-day procurement activities, coordinating vendor communications, and ensuring compliance documentation is complete and accurate. This position offers an excellent opportunity to build your skills in vendor management, technology procurement, and enterprise compliance while contributing to how our organization leverages workplace technology solutions.

Your day-to-day tasks will include:

  • Maintain license inventory tracking across multiple technology platforms (AutoCAD, BlueBeam, VergeSense, Density, Smartsheet, and others), updating records based on end-user requests and preparing purchase order documentation for supervisor review
  • Support vendor onboarding activities by collecting required documentation, scheduling coordination meetings, and tracking completion of steps across internal teams including Sourcing, Vendor Management Office, and Third Party Oversight
  • Assist with country-specific vendor onboarding by submitting requests to Third Party Oversight teams and monitoring approval status for global technology deployments
  • Provide administrative support for Ariba contract workspaces, including workspace setup assistance, document uploads, and basic vendor invoicing coordination under guidance from senior team members
  • Coordinate basic technical vendor setup tasks such as gathering SSO requirements, submitting security entitlement requests, and tracking completion of access provisioning activities
  • Serve as initial point of contact for routine vendor support requests, triaging license questions, logging technical issues, and escalating complex matters to appropriate team members or vendors
  • Register technology pilots and track proof-of-concept initiatives, completing required forms, maintaining status spreadsheets, and following up on pending approvals from security and compliance teams
  • Submit domain whitelisting requests for new technology implementations by completing standard request forms and coordinating with security teams to track approval progress
  • Support application onboarding coordination, assisting the GRE Technology team with documentation gathering, meeting scheduling, and tracking deployment milestones for software releases

Desired experience and technical skills:

Requirements:

  • 1-3 years of experience in administrative support, procurement coordination, or vendor management, with demonstrated ability to handle multiple tasks and follow established processes
  • Strong organizational and time management skills with proven attention to detail in maintaining records, tracking deadlines, and following up on pending requests
  • Comfort working with business software and enterprise systems including Microsoft Office Suite (Excel, Word, Outlook) and ability to learn procurement platforms and license management tools
  • Effective communication skills with the ability to professionally interact with internal stakeholders and external vendors via email, phone, and virtual meetings
  • Process-oriented mindset with willingness to follow documented procedures, ask clarifying questions when needed, and escalate issues appropriately
  • Customer service approach to supporting internal clients, responding promptly to inquiries, and maintaining positive working relationships across teams
  • Ability to work under moderate supervision while taking initiative on routine tasks and knowing when to seek guidance on complex or unfamiliar situations

Preferred:

  • Experience using procurement or contract management systems such as Ariba, Coupa, or similar enterprise platforms
  • Basic understanding of software licensing concepts or interest in learning about enterprise technology agreements and subscription management
  • Previous work in financial services, corporate real estate, or regulated industries with exposure to multi-step approval processes and documentation requirements
