FINN Partners’ Travel practice is a multi-million-dollar global powerhouse representing the world’s most prestigious established and emerging brands. We are seeking an Account Coordinator, Agency Operations who is hungry to launch a career in communications. This is not a traditional administrative role; it is a "front-row seat" to the inner workings of a global agency. You will partner directly with our executive team, providing the operational backbone that keeps our leadership and team thriving.

This role offers a unique dual-perspective: while serving as the operational engine for our leadership team, you will simultaneously gain direct insight into the high-level strategy and decision-making that drives a global agency. Mentorship is built into the fabric of this position, offering daily exposure to the inner workings of travel and lifestyle communications alongside seasoned industry leaders. 

This role is designed as a launchpad: we are looking for someone eager to learn the business from the top down and transition into a full-time PR and account-facing career within our team. While this role begins with a heavy focus on operations and administrative support, successful candidates will be integrated into account brainstorms and client projects as they master the agency's operational foundations.

This role is based out of New York office and is a hybrid schedule with 2 days a week in person.

Responsibilities:

Meeting, Event & Team Coordination
  • Enable seamless agency collaboration by coordinating in-office and virtual meetings from end to end, ensuring rooms, technology, materials, and catering are prepared so teams can stay focused, productive, and client-ready.
  • Strengthen agency culture and team engagement by planning and supporting internal events, trainings, and team gatherings that bring employees together, encourage professional development, and create a consistent, well-executed employee experience.
  • Champion agency culture by overseeing the team’s monthly calendar—tracking key industry events, team milestones, and internal training sessions to keep our team sharp and connected.

Recruiting & Onboarding Support

  • Schedule interviews and manage candidate logistics
  • Assist with onboarding coordination to ensure a smooth and welcoming experience
  • Maintain recruiting trackers and organize candidate materials

Presentation & Materials Development

  • Support the new business pitch process by assisting in the creation of visually stunning decks and research materials for prospective luxury and lifestyle clients. A strength in PowerPoint and Canva design is critical for this role. 

Project Coordination & Operations Support

  • Maintain shared documents, trackers, and team resources
  • Support project coordination by tracking timelines, milestones, and dependencies
  • Identify opportunities to improve organization, workflows, and internal processes

Client-Ready Communication

  • Draft and support executive briefings, summaries, and presentations
  • Ensure all written materials are polished, clear, and aligned with brand voice and tone

Social Media & Digital Support

  • Support our internal and external brand presence on LinkedIn and Instagram, ensuring the FINN Travel and Maverick Creative voices remain at the forefront of the industry.

Qualifications

  • 0–2 years of experience (Internships in PR, Marketing, or luxury hospitality are a major plus). 
  • Exceptional organizational skills and strong attention to detail
  • Clear, professional written and verbal communication skills
  • Proficiency in Microsoft Office (PowerPoint, Excel), Google Workspace, and Canva
  • Ability to manage multiple priorities in a fast-paced environment
  • A "No Task Too Small" Attitude: You understand that managing a calendar or a room setup is just as vital to winning a new account as the new business pitch itself. 
  • High Aesthetic IQ: A natural eye for design and detail, specifically within the Canva and PowerPoint environments. 
  • A proactive, solutions-oriented mindset with strong follow-through
  • Discretion & Professionalism: Ability to interface with high-level executives and global brand partners with confidence and polish. 

The salary range for this role is $48,000-$53,000.
