Description

We are seeking a detail-oriented, highly organized Operations Assistant to join our team in New York on a temporary 12-month basis. In this role, you will play a central part in supporting our core publishing operations workflow, ensuring that title databases, digital records, and physical archives are meticulously maintained.

This is an ideal opportunity for an operational problem-solver seeking hands-on experience in publishing operations, metadata management, and transatlantic cross-team collaboration.

Responsibilities:

  • Maintain and update title data in internal and external Content Management Systems (CMS); pull reports and query title databases. 
  • Digitize  physical assets; download, organize, and archive digital files according to standard naming protocols.
  • Liaise directly with UK-based team members to ensure alignment across ongoing publishing workflows.
  • Order book copies from the warehouse, handle outbound mailings/packages, and provide general office administrative support.

Requirements

  •  Strong organizational skills, close attention to detail, and proven accuracy in data entry and proofreading.
  • Proficiency in Microsoft Excel (spreadsheets, basic formulas, data filtering) and standard office hardware (scanning/printing).
  • Proactive, solution-oriented mindset with polished written and verbal communication skills across internal and international teams.
  • Ability to handle proprietary and sensitive organizational information with confidentiality.
  • High School Diploma or GED required (Associate/Bachelor’s degree a plus).
