Days/Hours:      Monday to Friday, 9:00am to 5:00pm (35 hours per week)

The Fortune Society, Inc. (Fortune) has been working for over 57 years in service to our mission: to support successful reentry from incarceration and promote alternatives to incarceration, thus strengthening the fabric of our communities. The organization has evolved into one of the nation’s preeminent reentry and justice-informed service organizations, providing formerly incarcerated people with the skills and wrap-around services needed to break the cycle of crime and incarceration and to build productive lives in their communities.


Fortune has grown steadily over the years to an agency with over $90 million in annual budget with approximately 600 staff. We anticipate that we will keep growing, both in size and depth of service. Fortune has a dual mission: both advocacy and service. The advocacy portion of our mission focuses on building a more just criminal legal system and reducing the barriers to reentry into society. The service side of Fortune has evolved to encompass a broad range of programs that started with employment and education and now includes a robust array of services, among them: alternatives to incarceration, supervised release, court advocacy, discharge planning within correctional facilities, licensed substance use and mental health treatment, a housing continuum ranging from emergency and transitional through permanent congregate and scattered site housing, assistance in obtaining benefits, a care management unit, HIV services, a food and nutrition program, and an arts program. Each service we provide is informed by the needs of the population we serve. Fortune currently serves approximately 18,000 people a year. Our program models are recognized, both nationally and internationally, for their quality and innovation. We have locations in Brooklyn, The Bronx, Manhattan and Queens.



Position Summary:

The Budget and Reporting Specialist will be a key member of the Finance Team focusing on several important functions including, but not limited to:

  • Develop and maintain operating budgets for all Administrative and Program functions across the Organization

  • Collaborate with Leadership to monitor the financial position of departments (e.g. P&L’s, variance reporting, etc.)

  • Create reporting tools (e.g. scorecards, KPI’s, etc.) to allow department leaders to manage their operations relative to contract parameters and/or internal goals

  • Partner with Grants, Program and Development teams to facilitate the RFP process

  • Work with Human Resources to track positions/headcount

  • Provide support to general finance functions

Excel and Microsoft Office Knowledge:  High level of expertise with Excel and Microsoft Office needed.


Budget Management and Troubleshooting: Ability to understand budgeting concepts and work with management effectively.  Capable of troubleshooting problems as they arise.


Collaboration:  Ability to work independently as well as within a team environment.  Excellent communication skills.


Essential Duties and Responsibilities:


Financial Reporting

  • Serve as business liaison between Finance and Fortune Society Management

  • Work with Leadership to develop annual budgets for Administrative Functions including Executive Office, Human Resources, Facilities, IT, Communications & Development, and Finance

  • Generate and distribute regular (typically monthly) Budget Variance and General Ledger Reports organization-wide

  • Work with business units to ensure financial goals are being met

  • Generate ad hoc reports as requested by Program and Administrative Leadership.

  • Set up regular meetings with Program and Administrative Management to review financial reports. attend meetings, keep notes and provide follow-up from meetings


Information & Reporting

  • Maintain master contract list of active contracts

  • When Fortune is awarded new grants, work with Program and other areas to facilitate smooth rollouts:

    • Update master contract list

    • Generate program codes

    • Open new positions in Finance and HR systems (currently FUND EZ and PayCom)

  • Generate regular updates to Finance Reports – currently including Position Control and Employee Allocation reports

  • Working with Finance Management, create and maintain scorecards/KPIs for contract management – invoicing, receivables, etc.


Request for Proposal (RFP) Financial Support

  • Handle general RFP requests.  Provide back up and support to Budget Director for complex cases

  • Working with Development and Program, create basic budgets for RFPs through an iterative RFP process. The RFPs can be for new grants or renewals.  Review and understand the RFP financial requirements and/or limitations. Research city, state and federal guidelines when needed.  Provide feedback on alternatives


Manage Private Foundation Grants

  • Maintain the list of private foundation grants.  Keep a calendar of new grant and renewal RFP production, as well as reporting requirements.  This work is generally done on a tight schedule

  • Maintain list of private and foundation grants that require invoicing. Generate invoices as needed

  • Work with Program to ensure renewal budgets are up-to-date and have been entered into the financial system (currently FUND EZ)

 

HR Liaison

  • Monitor staffing levels across agency to ensure consistency with plan.

  • Provide back-up to Budget Director with HR approvals for Requisitions, PAFs, promotions, transfers etc.

  • Meet regularly with HR to work through open issues

 

Projects

  • Provide backup for FUND EZ conversion to Sage Intacct

  • Attend weekly meetings and collaborate with Budget Director on follow ups and to-dos

  • Provide support for annual budget development process

  • Perform other duties as assigned

Qualifications

Qualifications:


  • Bachelors Degree in finance or related experience preferred.
