Title: Development Operations Coordinator

Reports To: Director of Development

Location: New York City preferred; however other locations will be considered. 

The Development Operations Coordinator is an entry-level role supporting Flatiron’s Development team across a wide range of administrative and project support needs. This person will help keep day-to-day development workflows moving – coordinating schedules, documents, vendors, and internal requests – while also taking on “learn as you go” analytical and process-improvement tasks such as maintaining our single source of truth and improving/automating reporting. This position offers a clear opportunity to grow into a Development Associate role over time as skills and responsibilities expand.

Flatiron is a lean, fast-moving team. The right candidate is highly organized, proactive, and excited to learn new skills quickly. You’ll work closely with Development team members to solve problems, improve team operations, and ensure “single source of truth” information is accurate and current.

Key Responsibilities:

  • Provide day-to-day administrative support to the Development team (calendar management, meeting coordination, travel and logistics as needed)
  • Help book meeting venues and coordinate on-site/off-site team meetings, including ordering food, setting up rooms, and managing vendor communications
  • Support real estate and project administration activities such as scheduling real estate payments, tracking key dates, and preparing materials for approvals
  • Coordinate procurement of signatures (including routing for internal approvals) and assist with recording and organizing real estate documents and filings
  • Maintain organized digital and physical files for active projects, ensuring version control and easy retrieval of critical documents
  • Light office-support tasks related to the Development team, e.g., ordering project swag, shipping/receiving, notarization, and coordinating supplies as needed
  • Help keep Flatiron’s “single source of truth” current by updating trackers, databases, and shared folders with accurate project information
  • Support reporting and analytics on development progress by collecting inputs, validating data, and producing recurring updates and dashboards
  • Partner with the team to improve and automate processes over time (e.g., streamlining trackers, creating templates, basic data automation using Excel/Google Sheets/Power BI or similar tools)
  • Support data analysis and visualization for team presentation materials
  • Work collaboratively with relevant teams and subject matter experts to generate necessary Standard Operating Procedures
  • Pitch in on ad hoc projects as needed – this role will have the opportunity to grow in scope as you learn the business

Key Qualifications

  • Bachelor’s degree required
  • 0-2 years of professional experience (completed internships, part-time roles, or previous leadership experience also taken into account)
  • Demonstrated interest in energy (e.g., completed internships, academic coursework, clubs, etc.)
  • Highly organized with strong attention to detail; able to manage multiple tasks and deadlines in a fast-paced environment
  • Clear written and verbal communication skills; comfortable interacting with internal and external stakeholders
  • Strong proficiency in Microsoft Office programs (Word, PowerPoint, Outlook, Excel); interest in learning data tools and automation
  • Analytical mindset and willingness to learn; comfortable working with trackers, basic reporting, and process improvement
  • Positive, proactive, “no task too small” attitude; excited to grow with a mission-driven company

Compensation and Location:

  • Job Type: Permanent, Full-time
  • Salary: Competitive base salary commensurate with experience
  • Bonus: Competitive performance based
  • Benefits: Flatiron offers an excellent benefit package with health care, dental, vision, and other health and wellness benefits
  • Location: Strong preference for New York City but other locations will be considered. Minimum 2 days in office required, additional as necessary to complete tasks. Ability to work in the United States is a requirement
  • Travel: Limited. Occasional travel may be required for team off-sites or project-related meetings
