We are seeking an experienced Executive Assistant to support the Head of Labs. This role is ideal for someone who thrives in a fast-moving environment, exercises excellent judgment, and can keenly manage competing priorities while maintaining a high-level of professionalism and discretion.
The Executive Assistant will serve as a trusted partner to the executive, providing strategic administrative support, driving coordination across stakeholders, and ensuring day-to-day operations run smoothly. This is a NY-based, in-person role that will work closely with a collaborative team of executive support professionals.
Key Responsibilities
- Provide high-level administrative and operational support, including complex calendar management, meeting coordination, and ongoing prioritization of projects and initiatives
- Manage a high volume of scheduling requests and shifting priorities across internal and external stakeholders
- Coordinate all aspects of domestic and international travel, including flights, accommodations, visas, ground transportation, and itineraries
- Anticipate needs, proactively solve problems, and identify opportunities to improve processes and workflows
- Serve as a key point of contact between the executive and partners, investors, industry professionals, and other stakeholders
- Plan and execute logistics for meetings, business trips, off-sites, and special events
- Partner closely with coordinators, executive assistants, and cross-functional teams to ensure alignment across schedules and priorities
- Prepare, review, and process documents, contracts, expense reports, and other sensitive materials
- Track action items, deadlines, and key deliverables to ensure timely follow-through
- Compile briefing materials, presentations, and background information for meetings, speaking engagements, and special projects
- Build and maintain a strong understanding of key relationships across partners, vendors, and industry contacts
- Support occasional personal tasks and errands for the executive, as needed
- Take ownership of ad-hoc projects and requests, as needed
Qualifications
- 4+ years of experience supporting senior executives, preferably in fast-paced, high-growth environments
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Proven ability to manage multiple priorities, deadlines, and stakeholders with sound judgment and discretion
- Ability to handle highly confidential information with professionalism and integrity
- Collaborative, service-oriented mindset with a willingness to pitch in wherever needed
- Calm, adaptable, and solutions-focused under pressure
- Advanced proficiency with Google Workspace, Microsoft Office, and expense management tools (e.g., Ramp, Expensify)
- Highly resourceful, dependable, and proactive
