The Role
The Human Resources Coordinator supports the HR team and approximately 2,000 domestic employees across US, Canada, and Puerto Rico, delivering seamless administrative and operational support across onboarding, employee data management, HR programs, and employee engagement. This role partners with IT, Facilities, and business leaders to facilitate new employee integration, and assist in key initiatives such as training, wellness events, and compliance. The Coordinator leverages technology to optimize workflows, maintains confidentiality, and ensures prompt, professional communication across the organization. Ideal candidates are detail-oriented problem-solvers who thrive in a fast-paced, collaborative environment.
Key Responsibilities
New Employee Onboarding
- Coordinate with IT, Facilities, Recruiters and Managers to distribute and validate all new employee data
- Coordinate and conduct new employee orientation sessions (US, Canada, PR)
- Send welcome emails to new hires including onsite instructions and agenda items
- Prepare new employee “Welcome Bags” and monitor and maintain inventory across major domestic offices
- Ensure timely IT equipment setup and manager readiness for new employees
- Review timesheet and overtime policies with non-exempt hires
Employee Relations
- Assist with exit interviews and producing exit documentation
- Assist with inputting Workday terminations
- Participate in employee relations matters when needed
- Communicate policies and procedures to employees and managers
Workday and Starr Portal Administration
- Manage administrative tasks for employee changes, transfers, and terminations
- Maintain HR announcements and updates on the Starr Portal (e.g., new hires, events, webinars)
- Update records for inactive contingent workers in partnership with admin teams
HR Programs & Engagement (shared job responsibility)
- Update the service award database
- Assist in coordinating and Co-hosting monthly “Resources for Living” webinars
- Support quarterly new manager training
- Assist in planning quarterly new employee networking events
- Coordinate NY office blood drives
- Distribute and maintain Metropolitan Museum corporate passes
- Manage domestic sports teams’ administration
- Partner with HR leadership on employee engagement and development initiatives
- Contribute to departmental projects as needed
HR Administration
- Monitor and respond to HR mailbox inquiries
- Maintain and update annual holiday schedules
- Order and distribute labor law posters annually
- Process HR-related invoices
- Provide additional HR administrative support as needed
Qualifications:
- Minimum 1–3 years of relevant human resources experience; Bachelor’s degree strongly preferred.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Preferable experience leveraging AI tools or automation technologies to streamline HR workflows or enhance operational efficiency.
- Exceptional attention to detail, superior organizational abilities, and demonstrated capacity to manage multiple competing priorities efficiently.
- Collaborative team player who adapts seamlessly to change and navigates shifting priorities with ease.
- Proven ability to exercise sound judgment, consistently handle sensitive information discreetly, and maintain confidentiality.
- Outstanding verbal and written communication skills, with the ability to interact effectively and professionally at all levels of the organization.
- Skilled in engaging with employees and stakeholders daily, providing prompt and accurate responses to HR inquiries.
- Proactive in identifying solutions, demonstrating initiative, and delivering high-level support to the HR team and internal clients.
