How Does This Position Help VTS Succeed?


Are you an expert multi-tasker? Do you see issues before they arise, and know how to find ways to solve them efficiently? We are looking for a hardworking, organized, and highly efficient professional to join our team temporarily as an Executive Assistant. This person will support two busy members of our executive team, while playing a critical role in serving as additional backup and support to the rest of the administrative support team. We are a fast-paced and exciting start up! The ideal candidate will be a proactive, enthusiastic team player, who is a self-starter and a big picture thinker, with experience in supporting multiple executives.

We have offices open across the globe, with our HQ in New York as well as Toronto, Chicago and London. This role will be asked to be in our New York office 3+ days per week. 

What Makes This Job Awesome?

  • Provide administrative support to our Chief Executive Officer. 
  • Manage a meeting heavy calendar and stay on top of their changing priorities, acting as a gatekeeper and partner to the CEO.
  • Ensure and maintain confidentiality of all appropriate communications and documentation
  • Work with EA and Workplace Experience team to expedite and improve cross-team communication
  • Act as point person for all domestic and international travel needs for the CEO 
  • Organize and facilitate meeting agendas and assist with follow up on action items coming out of meetings 
  • Submit expense reports in a timely manner
  • Assist executive team members and executive support members with daily tasks and special projects 
  • Assist with coordination of quarterly trainings and special events 
  • Communicate with third-party vendors, contractors, service providers and customers as a representative of our organization
  • Partner with HR / Office management and other departments, as needed for event & office management assistance
  • As part of the People team, keep your finger on the pulse of employee engagement and consistently strive to instill our values in our company culture

  • Prior experience in a fast paced or startup environment
  • Experience providing administrative support to multiple executives
  • Mentality of “no job is too small” with a positive attitude
  • Ability to manage competing and ever-changing priorities 
  • Ability to problem-solve independently is a must
  • Collaborative team player and self-starter 
  • Must be able to exercise confidentiality and good judgement in a variety of situations
  • Superb communication and organizational skills with a keen eye for detail
  • Ability to think two steps ahead and to anticipate an executive’s needs
  • Proficiency in G-Suite applications 
  • Bonus Points: Experience in event planning such as board meetings, off-sites, and social gatherings
