Job Description:
As a Project Coordinator, you are the organizational backbone that keeps cross-functional teams moving smoothly toward their goals. You are responsible for maintaining visibility into project health, ensuring seamless communication across teams, and handling the essential logistics that allow our creators to focus on their craft. You don't just track progress; you anticipate needs, resolve small blockers before they grow, and create the structured foundation that enables complex educational products to come together with precision and clarity.
You Will…
Maintain the source of truth - keep project plans, Figma boards, Smartsheet trackers, and meeting agendas meticulously up to date and ensure every stakeholder knows the "current state" and next steps without asking.
Coordinate the logistics - capture high-quality meeting notes, synthesize clear action items, and maintain follow-up. Attend to cross-unit and cross-team documentation, and communications out to the larger team as needed.
Actively support project handoffs - track deliverables across meetings and project stages and flag gaps or delays to ensure smooth transitions between functions. Ensure the right deliverables are being prioritized according to the project schedule
Unblock the team - identify minor bottlenecks—like a missing asset—and resolve them within 24 hours or less.
Champion file and asset tracker hygiene - establish and enforce rigorous naming conventions and folder hierarchies across all platforms. Ensure version control is strictly maintained. Partner with Design to ensure asset tracker has needed information and assets are moving through the pipeline on time.
Flag risks early - identify potential blockers or delays and escalate to the Senior Project Manager before they impact the timeline.

Proactive follow-up - checking in 24 hours early to ensure things are on track and not waiting for a deadline to pass.
A self-starter - identifying opportunities for improvement and sharing suggestions with your team and manager.
Minimum Qualifications:
2+ years of experience in administrative, coordination, or project support roles with demonstrated ability to manage multiple tasks, deadlines, and stakeholder communication. Experience in education, publishing, or EdTech environments is a plus. Experience in high volume production environments is a plus.
Bachelor's degree in business, communications, project management, education, or related field (or equivalent combination of education and experience)
Strong organizational skills with obsessive attention to detail and ability to maintain accurate documentation across multiple systems and platforms
Proficiency with project management tools including Smartsheet, Microsoft Office/Google Workspace, with willingness to quickly learn new software
Excellent written and verbal communication skills with ability to provide clear, concise updates to cross-functional teams and stakeholders
Proactive problem-solving mindset with ability to identify bottlenecks, follow up independently, and suggest process improvements
Interest in education and eagerness to contribute to K-12 curriculum development in a fast-paced, mission-driven environment
