Flow Traders is seeking a Corporate Receptionist to join our growing Office Management team in New York. The ideal candidate is passionate about workplace experience and takes the lead to create a positive and impactful impression for employees and visitors to the office. As the Corporate Receptionist, you will play an important role in supporting the Office Management team’s mission: establish an exceptional workplace experience. This mission will be carried out through employee and visitor interactions, visitor management, travel coordination, vendor communications, administrative support, and the execution of concierge services. With hospitality and professionalism at the forefront of your mind, you will be responsible for ensuring employees and visitors have access to all the services and amenities we offer in the workplace. We are looking for someone who will bring energy, passion, and a strong work ethic.

This position will start on a temporary basis with the possibility of being hired on a permanent basis. 

  • Lead the department's mission to deliver exceptional workplace experience as the primary front-of-house specialist.
  • Open the office on time and ensure readiness to welcome, greet, and register employees, visitors, vendors, clients, and corporate executives.
  • Oversee the reception area and boardroom, ensuring meeting rooms are clean, functional, fully stocked, and properly reset after each meeting.
  • Manage meeting-room conflicts, including double bookings, unplanned meetings, and extended reservations.
  • Screen incoming calls, direct them to the appropriate contacts, and take messages for timely follow-up.
  • Process and log incoming and outgoing mail and courier services accurately and efficiently.
  • Assist the Office Manager with business travel coordination and related arrangements.
  • Monitor office-supply inventory and place orders as needed.
  • Prepare office expense reports and maintain accurate budget-tracking spreadsheets.
  • Support coordination and set up of some office initiatives, events, and scheduling in alignment with organizational priorities.
  • Coordinate and schedule routine office vendor visits and service requests.

What You Need to Succeed

  • Bachelor’s degree required
  • 3+ years of experience as a receptionist or administrative support role within a corporate, leisure or hospitality environment
  • High degree of professionalism with experience working with high profile clientele
  • Very strong interpersonal relationship skills
  • Excellent written and verbal communication skills
  • Experience balancing multiple requests and telephone lines
  • Punctual, dependable, proactive and anticipatory; quick to meet challenges and think outside the box to formulate solutions
  • Self-motivated and entrepreneurial with flexibility to support requests outside of considered job scope
  • Excellent “hands on” technical and analytical skills
  • Highly organized with the ability to handle multiple tasks and apply judgment to prioritize
  • Consistent attention to detail and accuracy never letting anything fall through the cracks and ability to close the loop
  • Proven track record to think creatively, problem solve, and develop scalable, innovative solutions
  • Works well with team members by sharing responsibilities productively
  • Can identify projects in addition to executing them
  • High proficiency with office technology, equipment, and applications, including Microsoft Word, Excel, PowerPoint and Outlook

Where candidates will fall within the range depends on a few different factors including but not limited to level of experience, location, and specific skill set. We also consider ourselves one global team, and to demonstrate that, all employees are eligible to share in the company’s success through an annual discretionary variable remuneration allocated based on company, group and individual performance and contribution.

Per NYC salary transparency law, the total compensation for this role includes an hourly rate of $36-37.
