  • Coordinate domestic and international travel arrangements, including comprehensive itineraries, contact lists, and logistics specific to each trip.
  • Draft, proofread, and manage professional correspondence on behalf of both executives; carry out regular review of emails, phone calls, and other correspondence to identify appropriate follow-up actions.
  • Process, reconcile, and submit executive and departmental expense reports in accordance with corporate policy; handle departmental invoice processing and payments.
  • Serve as a liaison between the Technology and Information Security teams and internal/external stakeholders; collaborate with other Senior Administrative Assistants to ensure cross-team coordination, communication, and cooperation.
  • Maintain confidentiality of sensitive organizational, financial, and security information with discretion.
  • Support the preparation and distribution of recurring departmental reports, including weekly IT activity summaries.
  • Assist in tracking and documenting technology projects, milestones, and deliverables; contribute to process documentation and workflow optimization efforts, applying foundational process engineering principles.
  • Monitor and organize information related to emerging AI tools, trends, and enterprise applications to support executive decision-making.
  • Assist with vendor coordination, technology sourcing activities, and logistics for special business events and projects; order and stock office supplies and equipment for executive staff.
  • Participate in departmental technology initiatives and cross-functional projects as assigned; provide administrative support to other executives of the organization as needed; perform other duties as assigned.
  • Provide exceptional experiences for our guests, partners, and team members, including by adhering to our appearance and presentation guidelines while on-site.

What do you need to succeed?

  • 2–4 years of related experience
  • Bachelor’s degree or equivalent combination of education and experience.
  • Exceptional organizational and time management skills with the ability to manage competing priorities across two executives simultaneously, including under tight deadlines.
  • Strong written and verbal communication skills with meticulous attention to detail.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams); familiarity with Oracle, ServiceNow enterprise platforms, and project management tools (e.g., Wrike or similar) preferred.
  • Demonstrated interest in information technology and/or cybersecurity as a career path, including interest in and baseline understanding of artificial intelligence concepts and their practical enterprise applications.
  • Familiarity with or willingness to learn ITIL frameworks, IT service management concepts, and information security principles including the CIS Critical Security Controls; ITIL Foundation certification or active pursuit thereof preferred.
  • Interest in or progress toward PMP (Project Management Professional) certification, with foundational understanding of process engineering concepts (process mapping, workflow design, continuous improvement).
  • Professional demeanor and comfort interacting with senior executives, board members, and external partners, with the ability to handle confidential and sensitive information with the highest level of discretion and sound business judgment.
  • Ability to quickly learn organizational structure and objectives, navigate complex and ambiguous matters within a matrixed environment, and work independently as well as in a team setting.
