This is a hybrid position based in Manhattan. At this time, we are only considering candidates from the tri-state (NY, NJ, or CT) due to business and operational requirements.

  • SCOPE OF ROLE:
  • As a Leave Coordinator, your primary responsibility is to manage and coordinate various employee leave programs, encompassing medical leave, family and medical leave (FMLA), personal leave, disability leave, and other authorized absences. Your role involves serving as the main contact person for employees seeking leave, assisting them throughout the application process, ensuring adherence to pertinent laws and company regulations, and meticulously maintaining records.


    The Leave Coordinator role encompasses a range of responsibilities focused on managing employee leaves of absence within the organization.


  • ESSENTIAL DUTIES & RESPONSIBILITIES:
    • Assist in the management of the entire leave process, from initial request to return to work, for all types of employee leaves. Review leave requests, determine eligibility, and communicate decisions to employees.
    • Interpret and apply federal, state, and local regulations, as well as company policies, regarding leaves of absence, including FMLA, ADA, state disability laws, and paid time off (PTO) policies.
    • Support WC and Safety Manager in responding to inquiries on Worker’s Comp cases and Unemployment inquiries.
    • Track and record WC cases and support in completion of the OSHA log.
    • Serve as a point of contact for employees seeking information or assistance related to leave options, eligibility requirements, and application procedures. Provide guidance and support to employees throughout the leave process.
    • Collaborate with HR professionals, supervisors, and managers to coordinate leave accommodations, facilitate return-to-work processes, and address any issues or concerns related to employee absences.
    • Communicate with vendors who manage specific leave programs, like short-term and long-term disability insurance.
    • Monitor employees' leave usage, balances, and entitlements using HRIS or equivalent tools. Generate reports and analyze data to identify trends, evaluate program effectiveness, and ensure compliance.
    • Work with HR and management to assess and put in place reasonable accommodation for employees with disabilities or medical conditions, ensuring compliance with ADA and other relevant laws.
    • Performs other duties as assigned.

    Customer Service

     

    • Serve as the main point of contact for employees regarding leave inquiries and assistance.
    • Provide clear guidance and support throughout the leave process, ensuring employees feel supported and informed.
    • Maintain open communication channels, respond promptly to inquiries, and offer personalized assistance to address employee needs.

    • Timeliness: Ensuring that leave requests are processed promptly and efficiently is crucial for minimizing disruptions to operations and supporting employees' needs in a timely manner.
    • Accuracy: Maintaining accurate and up-to-date records of employee leave is essential for compliance with regulations, effective communication with stakeholders, and ensuring smooth return-to-work transitions.
    Qualifications
  • REQUIRED EDUCATION AND EXPERIENCE
    • Bachelor's degree in human resources, business administration, or a related field preferred.
    • Previous experience in leave administration, HR, or a related field preferred.
    • Knowledge of federal, state, and local laws governing leaves of absence, including FMLA, ADA, and state disability laws.
    • Strong understanding of HRIS systems and proficiency in Microsoft Office Suite.
    • Excellent communication and interpersonal skills, with the ability to effectively interact with employees at all levels.
    • Exceptional organizational skills and attention to detail.
    • Ability to handle sensitive and confidential information with discretion and professionalism.
    • Certification in leave management (e.g., Certified Leave Management Specialist) is a plus.
