The Billing Coordinator manages firm-wide billing for assigned clients and matters. Responsibilities include matter setup, rate and billing requirement review, eBilling submissions, invoice rejection resolution, prebill and proforma review, receivables monitoring, collections coordination, client communication, budget and alternative fee arrangement reporting, and partner support. The role requires maintaining billing compliance, confidentiality, accurate records, and timely invoicing while managing competing priorities.

Supports attorneys and client teams on private fund matters, including entity formation, fund launches, fundraising, investor transfers, subscription documents, signatures, closings, filings, and project timelines. Maintains organized client records, coordinates document review and comments, monitors deadlines, proofreads materials, and applies securities-law concepts. The role requires strong organization, communication, judgment, confidentiality, multitasking, and flexibility for overtime.

Supports attorneys with trademark and copyright portfolio management, prosecution, maintenance, enforcement, due diligence, clearance searches, registration filings, TTAB matters, client correspondence, and deadline coordination. The role requires at least six years of law-firm trademark prosecution and maintenance experience, strong legal research and organizational skills, and the ability to manage competing priorities in a fast-paced environment.

Provides paralegal support for trademark and copyright portfolio management, prosecution, maintenance, enforcement, and IP due diligence. Responsibilities include preparing trademark, service mark, copyright, TTAB, and title update filings; conducting trademark clearance searches; drafting client and counsel correspondence; tracking deadlines; and coordinating updates with attorneys and clients. Requires two to three years of law-firm trademark experience, strong organization, legal research skills, and preferably a paralegal certificate.

Administers research resource acquisitions, renewals, cancellations, invoices, contracts, and vendor communications. Coordinates procurement, privacy, and information security reviews; resolves routine vendor and payment issues; maintains accurate financial and acquisitions records; and supports the Manager in executing the acquisitions lifecycle efficiently.

Lead firmwide business development programming and training, including content creation, delivery (virtual/in-person), multimedia resources, intranet platform management, project management, performance tracking, and cross-functional collaboration to advance client service initiatives.
